My experience of the UKVCAS system for visa extensions- June, 2019

I just applied for my TIER 2 extension visa with my wife and 1 year old daughter. I have explained the process in the form of FAQs.

My timeline:
1. Submitted the application online on the 3rd of June and booked my UKVCAS biometrics appointment for the 10th of June 

2. I attended my UKVCAS appointment on the 10th of June and had biometrics.
3. I received an email on the 12th of July that my visa and my dependents visas have been processed successfully. 

4. I received an email on the 5th of August that there is a technical delay in issuing our BRPs. 
5. I requested a change of address by contacting the UKVI when I moved to my new accommodation. I received an email from them on the 14th of August confirming that they had acknowledged this.
6. I received a letter in my post ( to my new address) on the 24th of August ( as part of my Royal Mail redirection service) that DX delivery attempted to deliver our BRPs to our old address on the 21st of August. 
7. I emailed the DX delivery team on the 24th of August requesting them to forward the BRPs to my new address ( unfortunately I could not do this online). They stated that they could not do so. 
8. I contacted the UKVI change of address team again and sent them the above correspondence and requested them to deliver my BRPs to my new address. 
9. I contacted DX delivery on the 2nd of September to arrange a collection time given that this was being delayed for an inappropriately long time and that I would collect them from the nearest depot which was a 1.5 hour drive from my home. 



What is the UKVCAS system?

This is a new system introduced by the UKVI on uploading documents online for your visa and then attending an appointment in a specialist center for your biometrics.

What is different?
Before November, 2018 when we needed to apply for a visa extension, we did the following:
1. Fill out the UK visa extension form online via this website:
https://visas-immigration.service.gov.uk/product/tier2-general
2. Pay the health surcharge
3. Pay the visa fees
4. Book an appointment at a local post office and get our biometrics done ( ie photo, fingerprints, signatures ) and submit our documents.
5. We would get our BRPs in the allocated time slot.

So what is UKVCAS.
1. Fill out the UK visa extension form online via this website:

2. Pay the health surcharge
3. Pay the visa fees
4. Go the the UKVCAS website ( you will be directed here when you submit your visa application online):

5. Make an account on UKVCAS ( using the email address you used to submit your visa application online).
6. Book an appointment.
7. Upload scanned copies of the mandatory documents on the UKVCAS website
8. Attend the appointment for your biometrics ( ie photo, fingerprints, signatures ) and an officer will verify the documents you have uploaded.


This seems straightforward!
Unfortunately, it is not.
Getting an appointment in the area near you is a huge problem. I had a center in my own city however all the appointments were fully booked till the next 3 weeks. I checked the nearest centers and ended up driving 4 and a half hours to Croydon and had to pay for this service as well.

So does everyone have to pay?
No, if you are lucky you may get a free service. However if you need to apply for your visa urgently ( ie within the next week), you may not get a UKVCAS center offering free ( or even paid) services near you.

Why did you have to pay?
I received my certificate of sponsorship on the 3rd of June. Our (my wife, daughter and me) visas were expiring on the 15th of August. Therefore we had to get our biometrics done BEFORE the 14th of June to ensure that we got our visas before the 15th of August as we had applied for the standard visa .
In order to do this, we had to apply by the 14th of June. I was not aware of this new system and hence thought it would be an easy task to walk into the nearest post office and get everything done. However I was quite surprised when I was directed to the UKVCAS page once I had paid for my visa fees. I checked my city and there was no date available till 3 weeks later (outside my window period). I widened my search and found out that there was an appointment in Croydon over the weekend for 780 GBP! The next appointment was the next week on a Monday for 150 GBP.
I checked other options and the only free option I had was Belfast ( which was quite a distance from my city). 


But were you not working on that day?
Yes, I was. However I have always helped my rota team by taking any vacant shifts on AMU ( I really enjoy working on call) and hence they happily changed my annual leaves to Monday and Tuesday so I could travel to and back from Croydon ( a 4.5 hour drive).

What was the process like?
You stand in a queue which can be quite long. There can be up to an hours wait therefore it is advisable to go at least 30 min to an hour early.
You will need the following documents to show before security:
1. Your passport
2. Your UKVCAS appointment barcodes. 

You then pass through security where all your bags are checked. I had a baby in a stroller with her milk bottles, food, etc and they had no issue with all of this paraphernalia.

Then you enter the waiting room where you are given a slip with a number for biometrics. They will call the main applicant first. All you need is your passport and your UKVCAS bar codes.

You are taken to a machine which is self explanatory:
1. You scan your UKVCAS appointment barcode
2. Then you scan your passport.
3. Your fingerprints are taken
4. Then the camera takes a picture.
5. You sign on an electronic pad
There are loads of officials around to help. 

Once that is done, the other adult dependents are called and the same process is repeated.

Then your number is called again and you enter a cubicle where the official repeats the process with your baby- It is just a picture ( fingerprints are not taken).

Once that is done, the official will go through all the documents you have uploaded to the UKVCAS portal and verify them.

Your passport will be scanned again and all the documents ( INCLUDING passports and BRPs) will be returned to you.

The whole process lasted about 1.5 hours.

TIPS:

FINANCES:
1. Preempt the expenses at least one year before so that you can do locums, etc. 

2. If you have dependents, then you need to have a minimum amount in your bank account before hand so make sure you have set aside the required amount. My advice would be to open a separate savings account and ensure you have the minimum amount in it 90 days in advance as mentioned here:

3. Do locums to save up for that amount. I easily saved up for the minimum savings required by UKVI and all the visa expenses by doing locums in my core medical training year 2. 


BOOKING:
1. Please book your UKVCAS appointment as soon as you submit your visa application online.
2. ONLY upload the necessary documents. You will be informed about what to upload in the visa application. However, important documents like your job letter, certificate of sponsorship, etc should be uploaded as well.
3. If you struggle to find an appointment, you will always get one in Croydon. Weekends are more expensive than weekdays. There are plenty of centers so enter random post codes on the portal to book the nearest appointment.
4. Talk to your rota coordinators to shift your annual leave to the dates you are getting your appointment dates on. Do it quickly as these dates may be taken.
5. Bring all your originals with you in case the officials need to verify any documents.


TRAVELLING:
1. Croydon is not in the congestion zone so you do not have to pay for congestion charge.
2. If you are driving from a distance, it is best to stay the night in Croydon - there are plenty of hotels ( like Premier Inn) in Croydon.

4. If you have time to kill before the appointment, there are 2 major shopping centers in Croydon with a safe and secure parking lot:

5. There is a safe and secure parking lot next to the UKVACS center in Croydon:( https://ruskinsquarecarpark.co.uk/ ).

AT THE UKVACS CENTER:
1. There are baby changing rooms, toilets and you can bring whatever you want to ( ie books, laptops, etc).
2. Come early as there can be a queue.
3. Keep these documents ready: passport and UKVACS barcodes
4. Be prepared for a security check prior to the appointment.
5. Do not worry about your baby - the officials will personally take your little one's pictures and you do not have to fret about the machines automatic cameras doing that which can be very difficult.
6. Be prepared for the process to take any time from 1 hour to 2 hours.

Overall, my experience was not bad. I needed to plan everything in detail especially as I was travelling with my toddler and it was a long drive. However the UKVCAS team was incredibly helpful.

I wish it was simple like before when we could just walk into our local post office and get it done but this is not too bad either provided you know the system and have a plan.


MY TIER 2 -MAIN APPLICANT AND TIER 2 DEPENDENT VISAS



TIMELINE:


1. I received my certificate of sponsorship on the 3rd of June. I had already informed the HEE TIER 2 team that I need a COS valid ONLY for 2 years ( as I would be eligible for ILR in 1.5 years and this way, I would avoid paying the exuberant health surcharge fees for an extra 3 years per applicant- which would have come out to be an extra 7200 GBP! )

2. I applied for visa extension https://www.gov.uk/tier-2-general/extend-your-visa) and submitted my application online on the 4th of June. I paid for the standard processing time ( ie within 8 weeks)
3. I booked my UKVCAS appointment on the 4th of June. 
4. I uploaded my documents on the online UKVCAS portal on the 8th of June. 
5. I attended my biometrics appointment on the 10th of June. 
6. I received an email on the 12th of July that my BRP will be delivered within 7 working days. It has been issued for a total of 2.5 years. 

MY COVER LETTER:
Respected Sir/ Madam,

I, Dr ****** (
Visa Application Reference Number -******, passport number: ******), have secured a post as a Specialty Registrar  in Acute Internal Medicine (Specialty Training Year 3) and would like to apply for a visa extension, along with my wife ****** (Passport Number: *****), and our 1 year old daughter *****(Passport Number: *****),
All three of us have valid Biometric Resident Permits until the 15th of August, 2019.
I am a fully qualified doctor and am registered with the General Medical Council, UK. I am currently working as a Core Medical Trainee (CMT-2) at ******, York since 1st August, 2018 and will continue working till the 6th of August, 2019.
I have worked as a Clinical Fellow at ******* from 8th January, 2016 to 31st July, 2017 (BRP number *****). Following this, I worked as a Core Medical Trainee on a new work visa (BRP number *****). I started my Core Medical Training Year 1 (CMT-1) at ***** Trust Hospital, from 1st August 2017 to 31st July, 2018, and am now continuing my training as Core Medical Trainee Year 2 (CMT 2) at *******.
I have now secured a post as a Specialty Registrar in Acute Internal Medicine (Specialty Training Year 3) in ****** Deanery starting from the 7th of August, 2019 for 5 years. My wife, ******, and our daughter, ******, are also applying for visa extension with me as their TIER 2 Dependent Visas are also expiring on the 15th of August, 2019.
My wife is a fully qualified doctor. She graduated from ****** in ***** and has a valid Pakistan Medical and Dental Council License to Practice. She has also cleared her PLAB exam and is fully registered as a medical doctor with the General Medical Council, United Kingdom. She was born in *****on ******. She has been residing in the United Kingdom with me on a TIER 2 Dependent Visa since ***** and has visited her family in our home country Pakistan ***** in this duration, in *****, ***** and *****(our daughter also travelled with her on this visit). Before this, she visited the United Kingdom frequently – the two recent visits being in ***** with me, on a Family Visit /Visa, and in ****** with her family on a Family Visit Visa.

My wife and I have a 1 year old daughter, *****, born to us on ****** at ****** . We are also applying for a TIER 2 Dependent Visa Extension for her. She also has a TIER 2 Dependent Visa which was granted to her on the ******  and is valid till the ****** . She travelled to our home country Pakistan in ******  with my wife.
I support my family financially. My wife and I have one joint account with ****** .We have resided in the following cities in the UK:

We are currently residing in ******  and will continue residing here till my job ends on the ****** .
We have always paid our rent and utility bills on time. I also own a car on a finance deal and have always paid installments on time. 

I have always obeyed the rules of United Kingdom Border Agency and have never overstayed my visit. I am well aware of the consequences of doing anything illegal and I am used to the rules and regulations of your country.

Why did you attach so many documents?
Just to be sure. I had already collected these documents and typed up my cover letter a few weeks before my certificate of sponsorship arrived so I thought that I might as well submit these. 

Was there any added advantage?
No. 

Did you scan these documents and upload ALL of them to your UKVCAS portal as well?
They were already in a folder so it took me less than an hour to upload them. 

The UKVCAS officer must be fuming when (s)he saw the list of unnecessary documents you have uploaded!
Yes, she was. Unfortunately, I am very particular about my visa applications. However these additional documents were completely unnecessary. 

Should I follow your guideline and upload unnecessary documents like my parents birth certificate, my job details in my home country, etc?
No. There is no need! Just upload what you are asked to show as per the documents checklist. 

Have you learnt your lesson? 
Yes. I have. Next time ( hopefully there will not be a next time though as I will be eligible for my ILR in 1.5 years.) I will only upload the necessary documents.
